Questions to Ask Reception Site Managers

As with the hiring of any wedding vendor, there are a number of questions that should be asked to ensure you will be getting the highest value for your money. 

 

When booking a reception site, many issues can arise, from the total number the facility can comfortably accommodate to the cost per plate for catering services and much more. Some facilities may only book one event per day, while others may be booking two (one entirely in the afternoon, and another entirely in the evening.) 

 

Choosing a reception site is a very important decision, as it will be the location of the celebration of your wedding. Everyone you invite will spend several hours there and will be fed and entertained and catered to within this building. Choose wisely!

 

The following is a list of questions you should ask your reception site coordinator prior to signing a contract:

  1) What is the rental fee?

  2) How many guests can the site accommodate?

  3) How many hours does the fee include?

  4) Are there any overtime charges?

  5) What exactly is included in the fee?

  6) Do you provide tables, chairs, linens, china and silver?

  7) Are these items included in the rental fee?

  8) Can you accommodate bands?

  9) If so, are there any extra charges for the use of a piano and/or a dance floor?

10) Is the rental fee discounted on certain days of the week or times of year?

11) Do you provide a coat check service and is it included in the rental fee?

12) Do you provide parking and/or valet parking and is it included in the rental fee?

13) Will you be handling the clean-up and is it included in the rental fee?

14) Is liability insurance (including liquor liability) included in the rental fee?

15) What type of deposit do you require?

16) What is your cancellation policy?

17) If the reception is outdoors, are there heaters and lights?

18) If the reception is outdoors, can any outdoor area be tented?

19) If the reception is outdoors, is there an alternative location that can accommodate the guests in the event of bad weather?

20) Do you provide catering or can we choose an outside caterer?

21) Do you have a list of preferred caterers?

22) What type of kitchen facilities do you have?

23) Do you have any restrictions on alcohol?

24) Can we bring in our own liquor?

25) If site provides the liquor, what is the per person or per drink charge?

26) Can the site be used for both the ceremony and the reception?

27) Are there any music restrictions?

28) Are there any restrictions on photography or video cameras?
